Busy, small boutique medical malpractice defense firm in downtown Los Angeles is seeking a motivated, hands-on experienced law firm professional to manage all day-to-day operations. Duties include oversight and management of all support functions and staff, including human resources, accounting and finance, administrative policies and procedures, risk management, facilities management, and information systems. Position reports to Managing Partner.
PRIMARY RESPONSIBILITIES:
• Drafts annual budget, oversees reconciliation of account balances, and prepare monthly financial statements and reports. Supervises accounting manager
• Oversees and manages human resources for staff and paralegals, including recruiting, hiring, supervision, development, evaluation, discipline and termination; maintains personnel records for all attorneys and staff
• Promotes team work and inclusion. Provides leadership, motivation and a positive presence
• Conducts regular staff and paralegal meetings
• Coordinates resolution of IT issues, troubleshooting onsite and escalating to vendor support
• Oversees paperless records management system on ProLaw
• Primary point of contact with bank, firm accountant, insurance and real estate brokers, building management, and firm vendors
• Reviews and negotiates all vendor contracts, recommends improvements and enhancements
• Administers firm employee benefits plans, oversees renewal and open enrollment
• Prepares and files business and personal property taxes
• Handles commercial insurance renewals
• Reviews timesheets, supervises time off and overtime requests, administers payroll
• Maintains the firm’s MCLE Multiple Activity Provider status
• Handles professional organization membership renewals for the firm and attorneys
• Ensures firm compliance with applicable federal, state, and local laws and updates postings and employee handbook as necessary
• Oversees employee relations and resolution of employee grievances
• Coordinates maintenance of physical facilities, furnishings, and equipment including office moves
• Liaises with firm subtenants
• Coordinates website updates, drafts copy, and prepares marketing materials
• Attends and prepares agenda for quarterly Executive Committee meetings
• Organizes firm events and meetings
